Task Forces

Purpose: This group will plan, staff & execute the Building & Remodeling Expo. Primary Functions of this group include recruiting exhibitors, securing sponsors, & staffing event. The group will be responsible for appointing a chairperson to serve as a liaison to HBA staff. Building & Remodeling Expo Task Force members will meet regularly throughout the year.

Building & Remodeling Expo

(February 8-10 @ MetraPark Expo Building)

Group is responsible for:

  • Securing Sponsors (Refer to Sponsor Registration for varying levels)
  • Recruiting Exhibitors (Refer to Exhibitor Prospectus)
  • Collaborate on He-Shed/She-Shed idea
  • Suggestions for Hospitality Room food
  • Signs & Banners
    • Hang posters throughout the Billings community
    • Deliver banners to Billings Sign Service & sponsor locations
  • Transport all supplies to and from venue
  • Staffing Event:
    • VIP Night
      • Door greeters/drink ticket sales
      • 50/50 ticket sales
    • Regular Event Hours
      • Staff doors during event (see schedule sheet)
      • Hospitality Room
        • Pick up & set-up coffee service (return carafe at end of day)
        • Pick up & set-up lunch
        • Keep hospitality area clean & stocked throughout the day
    • Clean-Up
      • Take down decorations
      • Pack up and load out all supplies 
      • Transport supplies back to HBA Office

Purpose: This group will plan, staff & execute the Christmas Gala Tools For Trades Fundraiser. Primary Functions of this group include developing a theme for the event, securing sponsors, auction donors/items & raffle items, event decorating and staffing. Christmas Gala Task Force members will meet regularly June-December.

Christmas Gala

(Tuesday December 19th @ The Northern Hotel)

Group is responsible for:

  • Securing Sponsors (Refer to Sponsor Registration for varying levels)
  • Determine an event and Live Auction theme
  • Come up with Live Auction package ideas
  • Come up with revenue generating ideas (example: Heads or Tails)
  • Discuss Sponsored Game (Brooke’s game)
  • Secure Live Auction items
  • Secure Raffle/Silent Auction Items
  • Secure Cash Donations to be used for Auction/Raffle items
  • Transport all supplies, prizes, auction items, etc. to and from venue
  • Staffing Event:
    • Set-up/decorating
    • Manage revenue generating games
    • Sell raffle tickets
    • Take photos & e-mail to HBA staff (cell phone photos are sufficient)
    • Clean-Up
      • Clear all tables
      • Take down decorations
      • Pack up and load out all supplies & unclaimed prizes
      • Transport supplies back to HBA Office

Purpose: This group will plan, staff & execute the following events: Spring & Fall Sporting Clay Tournaments, Golf Tournament, Bowling Tournament. The group will be responsible for appointing a chairperson to serve as a liaison to HBA staff. Tournament Task Force members will meet regularly throughout the year.

Spring Sporting Clay Tournament

(Friday, April 28th @ Billings Rod & Gun Club)

Group is responsible for:

  • Securing Sponsors (Refer to Sponsor Registration for varying levels)
  • Planning food & beverage in line with budget
  • Brainstorming T-Shirt ideas
  • Collecting banners from sponsors
  • Set-Up
    • Transporting all supplies, food & beverage to and from venue
    • Hanging sponsor banners at venue
    • Organizing T-Shirts (fold and organize by size)
  • Staffing Event
    • Registration/Check-In all participants
    • Hand out T-Shirts to attendees
    • Hand out safety gear to attendees (ear plugs & safety glasses)
    • Help with food service if needed
    • Take photos (cell phone photos are sufficient) & e-mail to HBA Staff
  • Clean-Up
    • Take down all sponsor banners
    • Pack up all remaining shirts, safety gear, coolers, leftover food, other supplies
    • Transport Supplies back to HBA Office
  • Return banners back to sponsors after event

ToolBelt Scramble (Golf Tournament)

(Friday, June 9th @ Pryor Creek Golf Club)

Group is responsible for:

  • Securing Sponsors (Refer to Sponsor Registration for varying levels)
  • Collecting banners from sponsors
  • Transporting all supplies, banners, signs, hole prizes, etc. to and from venue
  • Staffing Event
    • Set-Up
      • Set up registration table
      • Decorate & display prizes/raffle items
      • Check-in sponsors
  • Registration
    • Check-In golfers
    • Sell additional mulligans
  • Other Volunteers Needed During Event
    • Take Photos (cell phone photos are sufficient) & e-mail to HBA Staff - will also serve as runners to help where needed during the tournament
    • Sell raffle tickets for door prize - will also serve as runners to help where needed during the tournament
  • Clean-Up
    • Take down all sponsor banners
    • Pack up & load out all remaining supplies, banners, signs, unclaimed prizes, etc.
    • Transport Supplies back to HBA Office
  • Return banners back to sponsors after event

Fall Sporting Clay Tournament

(Friday, October 13th @ Billings Rod & Gun Club)

    • Hanging sponsor banners at venue
  • Staffing Event

    • Take photos (cell phone photos are sufficient) & e-mail to HBA Staff
    • Clean-Up
      • Take down all sponsor banners
      • Transport Supplies back to HBA Office
  • Return banners back to sponsors after event

Purpose: To provide advocacy for the building industry relating to local regulatory issues.

COMMITTEE RESPONSIBILITIES:

  • Meet monthly with local building and planning officials to discuss regulatory issues affecting the home building industry.
  • Monitor regulatory issues affecting the home building industry.
  • Create positive working relationships with local officials involved with setting policy on issues affecting the home building industry.
  • Identify issues of concern for the home building association and take a proactive approach to negotiating a positive outcome for the building industry.
  • Align program with the HBA Strategic Plan Objectives to further the mission and vision of the HBA.

COMMITTEE MEETINGS:

Scheduled for 2nd TUESDAY OF THE MONTH

Meetings scheduled for 2:00 PM at the Miller Building 1st floor conference room. 2825 3rd Avenue N.

STRATEGIC PLAN OBJECTIVES:

  • Continue to monitor key issues related to the home building industry.
  • Continue to stay ahead of the curve taking pro-active approach to issues.
  • Increase individual communication with government officials.

Purpose: This group will plan, staff & execute the following events: Parade of Homes, Twilight Tour, Builder Tour, & Awards Night. Primary Functions of this group include everything from Securing Sponsor & Builders to party planning. The group will be responsible for appointing a chairperson to serve as a liaison to HBA staff. Parade of Homes Task Force members will meet regularly April-October.

Twilight Tour

(Friday, September 15th @ Kitchens Plus Departure Point)

Group is responsible for:

  • Securing Sponsors (Refer to Sponsor Registration for varying levels)
  • Planning dinner menu in line with budget
  • Assisting staff in selecting a venue for kick-off party
  • Swag bags
    • Secure/collect swag items from sponsors (220 items per sponsor)
    • Stuff swag bags prior to event
  • Transport supplies, swag bags, beverages, coolers, etc. to & from venue
  • Staffing Event:
    • Stock coolers & load on to buses
    • Place swag bags on each seat inside buses
    • Check-in all attendees
    • 1 Volunteer on each bus to check tickets & police alcohol consumption
    • Take photos & e-mail to HBA staff (cell phone photos are sufficient)
    • Clean-Up
      • Unload all left over beverages & swag bags off buses
      • Transport Supplies back to HBA Office

Parade of Homes

(September 16/17 & 23/24)

Group is responsible for:

  • Securing Sponsors (Refer to Sponsor Registration for varying levels)
  • Securing Builders (Refer to Builder Contract)
  • Collecting Builder Info (Refer to checklist)
  • Brainstorm 30th Anniversary Contest ideas
  • Brainstorm 30th Anniversary marketing/celebration ideas
  • Signs & Banners
    • Placing feather flags at all subdivision entrances (map to be provided by HBA Staff)
    • Deliver & set-up large signs at each home 1 week prior to event (requires the ability to tow HBA trailer)
    • Hang posters throughout the Billings community
    • Deliver banners to Billings Sign Service & sponsor locations
  • Help HBA Staff to proof magazine (2 people)
  • Staffing Event:
    • Runners to help where needed during event hours (refer to instruction sheet)

Builder Tour

(Friday September 22nd @ Ferguson Kitchen & Bath Departure Point)

Group is responsible for:

  • Securing Sponsors (Refer to Sponsor Registration for varying levels)
  • Assisting staff in selecting a venue
  • Planning dinner menu in line with budget
  • Swag bags
    • Secure/collect swag items from sponsors (110 items per sponsor)
    • Stuff swag bags prior to event
  • Transport at supplies, swag bags, beverages, coolers, etc. to & from venue
  • Staffing Event:
    • Stock coolers & load on to buses
    • Place swag bags on each seat inside buses
    • Take photos & e-mail to HBA staff (cell phone photos are sufficient)
    • Clean-Up
      • Unload all left over beverages & swag bags off buses
      • Transport Supplies back to HBA Office

Annual Meeting/Parade of Homes Awards Night

(Tuesday, October 17th @ TBD)

Group is responsible for:

  • Assisting staff in selecting a venue
  • Planning dinner menu in line with budget
  • Brainstorm costume theme
  • Transport supplies to & from venue
  • Staffing Event:
    • Set-up/decorating
    • Check-in attendees
    • Sell 50/50 tickets
    • Take photos & e-mail to HBA staff (cell phone photos are sufficient)
    • Clean-Up
      • Clear all tables
      • Bag linens
      • Take down decorations
      • Pack up and load out all Supplies
      • Transport supplies back to HBA Office
